So, what is a plenary session?
First things first, what exactly is a plenary session?
Plenary session meaning
A plenary session is defined as: “a meeting at which all members of an organization (such as a legislature) or all members of a particular committee or section thereof can meet and transact business”.
So what exactly does that mean? Well, it means everyone gets together and you’re all able to communicate at the same time – basically what we would now call a conference call. And what we used to know as a conference call is what we were able to do, but then over time technology has evolved and now we can actually video chat and collaborate with even more people!
But what about those pesky time zones?
How do you make sure everyone can be on at the same time? That’s where plenary sessions come in super handy as it’s way easier for multiple members across different areas of the world (think far-flung places like Australia or Europe) to attend. So how should this be done? Well, there are 2 main components:
1. Logistics:
The first thing you want to do is decide what the purpose of this plenary session is going to be. From what we can tell, it seems pretty straightforward – if your aim is to have all team members from across the globe in one room so they can interact and collaborate with each other through video chat, then that’s what it’s going to take!
2. Communication:
If you’re simply having a conversation via phone or email then this will work too, but what if the topic involves people needing to speak up and put their hands up? Well in that case you’ll need some kind of audiovisual equipment (so software to connect what you say with what is said by another person through your microphone, for example).
Plenary sessions’ sisters
There a quite a few similar types of online meetings that are similar to plenary sessions. These include townhalls, all-hands, team syncs, and any other format of the whole team or company meeting.

Plenary sessions: benefits
So, what’s the deal with plenary sessions, and why should I care? Well, this is what we have to say:
1. Cost-effectiveness:
Firstly, it’s going to be a lot cheaper than flying everyone out and putting them up in a hotel just for a few hours of collaboration!
2. Productivity:
Plenary sessions allow you to combine people from all different teams or departments so they can work together towards the same goals. And what this means is that things move much faster through each area as there aren’t any obstacles caused by having various teams working on different goals simultaneously – one team completes what they need to do and then moves onto the next task while the other works on theirs during that time.
3. Efficiency:
It might sound a little weird, but plenary sessions actually allow you to be more productive because there is no wasted time! In other words, what this means is that people aren’t going off on their own and getting lost in the process.
4. Collaboration:
Having a plenary session allows people from various teams to collaborate with each other even if they don’t usually work together. And what this does for your company is it makes it so everyone can bring what they do best (their knowledge, skills, and experience) to the table which gives what you’re working on much greater potential than what one individual could accomplish on their own!
These types of sessions make for great live and digital events. The best part about these types of sessions is that they open up communication between attendees, speakers, and sponsors; which generates more blog posts, tweets & buzz – what we like to call engagement.
How do I host a kickass plenary session?
How do you make sure that your plenary session is engaging, educational, and interesting? How do you make sure that everybody in the plenary session gets value out of the meeting? Here are our favorite tips!
– Make it educational
– Keep your session to one goal or topic
– Make sure what you say is what actually gets heard by everyone so they can learn what’s being presented
– Have a structured question and answer time.
– Make sure what you’re saying is what they’re listening to
– Hold a fun or creative activity like a company volunteer day (this really brings teams together)
– Make the plenary session interactive and open it up for questions periodically.
– Be prepared! Don’t wing it, have all of your resources ready ahead of time for easy access if needed
– Have fun! If what you’re doing isn’t engaging then people are going to lose interest very quickly. So make sure that what you’re presenting not only educates but also keeps them entertained. This might involve using others’ stories, examples of what works and what doesn’t work, or even videos of other inspiring projects or presentations.
What NOT to do during a plenary session?
When hosting or participating in a plenary session, don’t do these things.
– Don’t go off on tangents
– Don’t make what you’re saying too complicated
– Don’t ramble or push what’s been presented down their throats – let people think about what they’ve learned for a moment before moving onto something else.
– Don’t get caught up in what everyone is doing and why they might not be participating the way you want them to. If what you say isn’t being heard it’s because what you’re saying isn’t relevant to them, so change what you’re talking about. There are other ways to communicate what needs to be said than just speaking it out loud. Be creative!
– Lastly, don’t talk over people when asking questions or holding informative conversations with them. If what you’re saying isn’t what they want to hear, there’s no reason for them to talk to you so let them finish what they have to say before jumping in with yours.
Plenary sessions are not used by all organizations or companies so what does this mean?
Not all organizations feel the need to have plenary sessions but if your company needs a kickass team building activity then this might be one of the best events that you could choose! It’s great for bringing people together who wouldn’t normally get an opportunity to work together, which means that everyone on your team will be able to work on what they do best when it comes time for big projects. Plus, it gives attendees value because they’ll be able to meet new people, make connections with those people who they can use as future partners or clients, and what every company needs is more content! So what you’re really doing is generating a ton of media that will bring in leads, customers & revenue – what better way to generate value for your company?
What does this mean for my plenary session?
It means that if what you’re looking for is an event where everyone can learn what’s going on inside of their organization because what gets talked about during these sessions doesn’t leave the meeting room.
What is a plenary session podcast?
So what exactly does that look like (in the business context)? Well, it’s pretty simple – whatever equipment you need to make sure everyone can see and hear each other to communicate effectively.
But what about when people aren’t using their own equipment but are instead sharing one set of devices? Yep, this actually happens too! And while it may be considered less preferable than having everyone communicating via their own device (so what they say isn’t influenced by what someone else says), keep in mind that this system works great when there isn’t enough time before the plenary session for people to set up their own equipment.
Final thoughts on plenary sessions
So, by now you know what is a plenary session – awesome! You also know what plenary sessions are used for and what they’re like in general – great! And what better way to end our blog post than with what plenary sessions can bring to your business.
Plenary sessions allow you to be much more productive by moving through each area much faster (because there isn’t any time wasted when everyone works on their own goals). It allows you to collaborate with others who don’t always work together, which in turn creates much greater potential in what it is that you’re doing. Plus, plenary sessions create a more engaging environment because everyone’s knowledgeable, skilled, and experienced personalities get brought into the fold which makes everyone feel important and valued. Last but not least, what makes plenary sessions so great is what they can bring to your business.
